Believe it or not, you can find yourself loyal to inefficient processes—like staying in a long line when there’s a self-checkout option.
Case in point: for over a year, I managed The Bliss using nothing more than pen, paper, and a chaotic mix of mismatched systems.
(For proof, see Entry 6—brace yourself.)
Eventually, even I had to admit that this inefficiency was holding us back.
So, with a little nudge from my father, I finally decided to explore hotel software. I tried several options that claimed to be ideal for nine-room independent properties like mine, but none of them fit.Â
One couldn’t accommodate the required city tax, another was limited to on-premise use, so I couldn’t check operations remotely, and some were simply too expensive for my boutique hotel budget.
Then inspiration struck. My partner Tymen was working on a reservation system for a motorcycle rental company. That’s when I asked: "Could you build something like that for my hotel?"
I didn’t realize it at the time, but that simple question sparked a pivotal moment—one that led to something I never expected: the creation of RoomRaccoon.
A quick checklist for choosing hotel software
âś…Â Compare software providers
Take the time to compare different software options—don’t just settle for the first one you find. Compare features, pricing, and, most importantly, user reviews. Hearing about other hoteliers’ experiences can save you from making the wrong choice!
âś…Â Test user experience
Request an online demo or free trial to test the software’s usability firsthand. Look for providers that offer self-guided product tours—they’re a great way to get a feel for navigating the system before committing.
âś…Â Check the setup process, training resources, and ongoing support
Choose a software provider with responsive and reliable customer support that’s easy to reach whenever you need assistance. A strong onboarding process and accessible training resources for your team are also essential to get everyone up to speed quickly.
âś…Â Ask about ROI
The best hotel software pays for itself with measurable results. When evaluating a vendor, focus on how the features contribute to your ROI. Ask about tools that enhance guest satisfaction, drive efficiency, and increase revenue—these should be at the top of your must-have list.
âś…Â Prioritize integration capabilities
Check if the provider has an Integrations Hub with seamless connections to major booking platforms like Booking.com and Expedia, as well as important software providers like your POS system and digital door lock vendor.
âś…Â Consider scalability and customization
Look for providers offering flexible packages. This way, you can start with the essentials and add features as your needs grow—you’re paying for what truly benefits your property without unnecessary extras.
